Where our purpose for processing data is for student support, which is necessary because we need to fully understand our students needs to be able to support them throughout their education at Leaves Institute.We process students information in the following ways, we assess your needs through an interview form, discuss with the student any additional educational support, counselling or guidance they may need and they agree to us retaining information about their needs to help us support them fully throughout their education. Data retention period: We will continue to process your information under this basis until you withdraw consent or it is determined your consent no longer exists.Sharing your information: We do not share your information with third parties. 

Lawful basis: Contract

Where our purpose for processing is future marketing of our courses. Which is necessary because someone has subscribed to our website and/or registered their interest in our courses and we want to keep them updated with a monthly newsletter about Leaves Institute and any course information which may assist with their application.We process your information in the following ways, we obtain information directly from your Application Form, Interview Form submitted when you apply or register your interest in a course. Data retention period: We will continue to process your information under this basis until you withdraw consent or it is determined your consent no longer exists.Sharing your information: We do not share your information with third parties.

Lawful basis: Legal obligation

Where our purpose for processing is we have received your interest through social media, such as our Facebook page, Twitter account, Pinterest account or Instagram account we will continue to update you via those social media channels.Which is necessary because you have joined our social media groups and given us permission to update you on information regarding Leaves Institute, Leaves Healing and Yumiko Asakura.We process your information in the following ways, we note in our database that you have subscribed to our social media channels.Data retention period: We will continue to process your information under this basis until you withdraw consent or it is determined your consent no longer exists.Sharing your information: We do not share your information with third parties.

Where our purpose for processing is information that could affect your studies at Leaves Institute. Which is necessary because you may have suffered from a trauma, experienced mental health issues, have learning difficulties, suffered from depression or be in receipt of counselling. We process your information in the following ways, we gather data of this nature into our database and we will inform the specific student support staff required to support and guide you with support for any problems you may be experiencing during your studies at Leaves Institute.Data retention period: We will continue to process your information under this basis until you withdraw consent or it is determined your consent no longer exists. Where our purpose for processing is because we have received your business card or contact through an email, letter or phone call and you have requested further information regarding Leaves Institute we will keep a note of your request and how it has been dealt with in our database. Where our purpose for processing is because we are unable to educate students who have been convicted of certain crimes.Which is necessary because we need to safeguard our students, staff and/or any future connections you may have connected with Leaves Institute. 

We process your information in the following ways, we will collate data in our database after your application has been received via our website. We will them discuss with appropriate support staff if we are able to offer you a place on one of our courses. Email marketing messages & subscription

Under the GDPR we use the consent lawful basis for anyone subscribing to our newsletter or marketing mailing list. We only collect certain data about you, as detailed in the "Processing of your personal data" above. Any email marketing messages we send are done so through an EMS, email marketing service provider. An EMS is a third party service provider of software / applications that allows marketers to send out email marketing campaigns to a list of users. Email marketing messages that we send may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of data such as; times, dates, I.P addresses, opens, clicks, forwards, geographic and demographic data. Such data, within its limitations will show the activity each subscriber made for that email campaign.

Any email marketing messages we send are in accordance with the GDPR and the PECR. We provide you with an easy method to withdraw your consent (unsubscribe) or manage your preferences / the information we hold about you at any time. Our EMS and database provider is Zoho One and our LMS educational platform provider is Canvas. We hold the following information about you within our EMS Zoho One system and Canvas.

  • Reason for contacting, connecting, applying or subscribing to Leaves Institute

  • Information regarding any additional student support you may need.

  • Course Applied for.

  • Whether you have been offered or declined a place.

  • Any student support you might need based on any learning difficulties

  • Any additional student support you may need in regards to a disability

  • Your date of Birth

  • Your address

  • Your I.P address

  • Subscription time & date

  • Application date

  • Your time zone, based on your location when studying an online course.


Compensation for services received

Leaves Institute conducts our Educational Programme to the highest level of Healing Education, our academic lectures and content of lectures are delivered with confidence by certified practitioners and teachers of the Leaves Healing Methods. However, should a student be unsatisfied with their education and course content received at Leaves Institute we will conduct a review into any issues and find a solution to best help the student move forward. Should a positive resolution not be concluded, then the student will cease to continue their education at Leaves Institute immediately and will receive compensation that is agreed upon by both parties, in good faith for services paid for that are no longer required. In this case, please be aware that we will notify you by email within 7 days from the last day of service provision.
